Policies & transparency

Open books. Open doors.

How a volunteer-run cultural association governs itself, protects your data and accounts for every euro.

§ 1

Cultural access & non-discrimination

The association welcomes every person regardless of age, gender, gender identity, sexual orientation, ethnic or national origin, language, religion or belief, disability, health, financial situation or level of musical experience, in line with the Finnish Non-Discrimination Act (1325/2014).

We keep events free or low-cost wherever possible, offer free places to young people, choose accessible venues and lend instruments so that cost is never a barrier to taking part. Harassment of any kind is not tolerated; concerns may be raised confidentially with any board member.

§ 2

Privacy & data protection (GDPR)

The data controller is Pohjois-Savon Kansanmusiikkiyhdistys ry, Munkkisaarenkatu 6, 00150 Helsinki, Finland. We process members' names, contact details, membership type and payment status solely to maintain the statutory register of members (Associations Act, section 11), communicate with members and organise activities.

The legal bases are our legal obligation and the membership relationship; photographs and newsletters rely on consent, which may be withdrawn at any time. Data is never sold or shared for marketing, is stored securely in the EU and is deleted within one year after membership ends, except where accounting law requires longer retention.

You have the right to access, correct, erase, restrict or port your data and to object to processing. Requests: info@savonk.live. You may also lodge a complaint with the Office of the Data Protection Ombudsman (tietosuoja.fi).

§ 3

Conflict of interest

Board members, officers and volunteers act in the interest of the association, not personal gain. Any personal, family or financial interest in a matter under decision must be declared, and the person concerned does not take part in its handling or vote, in accordance with section 37 of the Associations Act.

Declarations are recorded in the minutes. Paid engagements of members as performers or teachers are approved by the board at standard published rates.

§ 4

Financial transparency & governance

Pohjois-Savon Kansanmusiikkiyhdistys ry (PRO: 10666551) is a registered, non-profit association. It does not distribute profits, dividends or other financial benefit to its members or officers. Board members serve without pay.

Income from membership fees, grants, donations and concerts is reinvested entirely in folk music education, archive work, instrument preservation, public events and support for members and the community.

Accounts are kept under the Finnish Accounting Act, reviewed by an independent auditor and approved together with the annual report at the general meeting. Copies are available to members and, on request, to funders and partners.

Adopted by the board and confirmed by the general meeting. Last reviewed: 2026.
